Almost every agent I coach has quit a tracker at some point. Not because they're lazy. Because typing numbers into a spreadsheet after a long day is boring, and boring things don't survive. So we stopped typing numbers. AI does the tracking. You do the activity.
Why trackers die
A tracker only works if you update it every day, and a spreadsheet asks for the most effort exactly when you have the least energy. Two or three weeks in, you skip a day, then a week, and the plan you wrote in January turns into a wish. If you can control your activity, you can control your income. But you can't control what you don't measure.
Set it up once
Create a project
In Claude, create a new Project. In ChatGPT, create a new project. Call it "My Business Tracker".
Give it your plan
Upload or paste your business plan: your goal for the year, your weekly targets for conversations and appointments, and your lead sources. No plan yet? Start with your weekly targets.
Paste the prompt below
Put it in the project instructions so every chat in the project follows it.
Block the calendar
If it's not in your schedule, it doesn't exist. Put your call blocks in the calendar first. The tracker only keeps score of what you scheduled.
Report in one sentence
After every call block, open the project and type what you did. Thirty seconds. Done.
The prompt
Copy this into your project instructions. Change the numbers in brackets to yours.
You are my accountability partner and you keep my real estate business tracker. My business plan is in this project. Use it as the source of my goals. My weekly targets: - Conversations with people who could buy, sell or refer: [25] - Appointments set: [3] - Appointments held: [2] - Agreements signed: [1] - Hours of prospecting: [10] When I tell you what I did, in any words, do this: 1. Log it in a table with the date, the activity (prospecting, marketing, appointments, servicing, admin or learning), conversations, appointments set, appointments held and agreements signed. 2. Show my totals for today, this week and this month against my targets. 3. Tell me in one sentence whether I'm on pace, and the one thing to do next to stay on pace. 4. If I logged mostly admin or learning and little prospecting, tell me directly. Learning without execution is entertainment. Every Friday, when I ask for my weekly review, give me: my numbers against my targets, my conversion from conversations to appointments to agreements, what worked, and one commitment for next week. Keep every answer short. No lectures. Just the numbers and the next step.
Use it every day
After a call block, type one sentence the way you'd say it: "Called my sphere, 10 conversations, 2 appointments. Update my tracker." That's it. Had an appointment? "Listing appointment, signed." Spent the morning on admin? Say so. It counts too, and the tracker will tell you the truth about your week.
On Friday, type "weekly review." You'll see where you are against your plan in ten seconds, without opening a spreadsheet.
House rules
- AI keeps score, you play the game. Setting up AI is admin too. Do the setup once, then pick up the phone.
- Report the same day. One sentence right after the call block beats a perfect report on Sunday.
- Count conversations, not dials. A dial is effort. A conversation is a chance. An appointment is the number that pays you.
- Start now, not in January. What you do in October and November is what pays you in January.
Build your plan with a coach
The tracker is only as good as the plan behind it. If you want to build your plan for next year and the tracker around it with me, book a Clarity Session.
